Horizon Staffing Solutions is seeking a detail-oriented office administrator for one of our clients in Bay Shore, NY. The ideal candidate must be bilingual Spanish, have excellent communication skills, and be skilled in multitasking within a healthcare environment. This permanent, full-time position supports daily operations in a medical office, assisting with responsibilities such as scheduling, reports, billing coordination, compliance, and more.

Responsibilities
Job Responsibilities:
- Oversee all daily operations of the medical practice, ensuring efficient, compliant, and patient-focused workflows across clinical and administrative departments.
- Supervise and support staff across multiple departments including front desk, billing, medical assistants, and telehealth teams.
- Handle patient complaints, staff concerns, and internal conflicts with professionalism and timely resolution to maintain a positive work environment and patient experience.
- Conduct staff performance evaluations, disciplinary actions, and ongoing coaching and development to promote accountability and growth.
- Manage billing operations and collaborate with outsourced billing vendors to ensure accurate claim submission, denial management, and revenue optimization.
- Maintain HIPAA, OSHA, and Department of Health compliance, including preparation and response to state and insurance audits.
- Oversee integrations, ensuring proper coding, workflow adherence, and increased patient access.
- Coordinate quarterly reports, staff meetings, and department trainings to review performance metrics, address workflow updates, and reinforce compliance and quality standards.
- Collaborate with the Quality Improvement (QI) Specialist and providers to track care gap closures and improve patient outcomes. Supervise, Implement, monitor, and report quality measures (CMS, HEDIS, PCMH, payer-driven initiatives) to meet compliance and incentive goals.
- Manage scheduling templates, staffing coverage, and patient flow optimization to maintain provider productivity and reduce wait times.
- Oversee facility and vendor management, including equipment maintenance, certifications (oxygen, fire extinguishers, solar, etc.), and service contracts.
- Develop and implement new patient programs such as Diabetes Education and Weight Management telehealth initiatives.
- HR department – payroll, scheduling and vacation tracking. Keeping up with state regulations.
- Communicate directly with external entities such as IPAs, payers, vendors, and auditors, representing the practice in all administrative and quality-related matters.
