Job Title: Studio Administrator
Location: New York City (Hybrid)
Salary: $90,000 per year (Permanent, Full-Time)
Work Schedule: Monday & Friday – Remote | Tuesday–Thursday – In-Office (9am–5pm, Flexible)
We are seeking a detail-oriented, proactive, and experienced Studio Administrator to join our client, a renowned landscape architecture design firm based in New York City.
Responsibilities
Key Responsibilities
Studio Administration
- Ensure smooth daily operations of the NYC studio.
- Manage correspondence (phone/email), deliveries, document filing, and studio communications.
- Coordinate IT needs and vendor interactions related to technology and office supplies.
- Develop and maintain internal office policies.
- Collaborate with administrative counterparts in MSP’s London and Shanghai offices.
Human Resources Administration
- Act as the HR point of contact for the NYC studio, liaising with our PEO partner (Engaged).
- Support bimonthly payroll coordination and ensure HR compliance with all employment laws.
- Manage onboarding and offboarding processes, benefits administration, and performance review tracking.
- Oversee records for licenses, insurance renewals, and employee certifications.
Marketing Coordination
- Assist with the preparation and updating of marketing materials (bios, project sheets, firm profiles).
- Maintain organized image libraries and archives for marketing use.
- Support PR and awards submissions, conference proposals, and related marketing initiatives.
Business Development
- Coordinate proposal preparation, qualifications packages, and competition submissions.
- Support scheduling and organization of business development meetings.
- Maintain CRM database and track prospective opportunities in coordination with leadership.
Qualifications
Ideal Candidate Profile
- 10+ years of experience in office administration, HR coordination, marketing support, or business development.
- Bachelor’s degree in Business Administration, Human Resources, or related field preferred.
- Strong verbal and written communication skills.
- Exceptionally organized and detail-oriented.
- Proficient in Microsoft Office; comfort with basic IT troubleshooting.
- Experience with PEO platforms and HR compliance processes highly valued.
- Ability to manage multiple priorities and work independently in a fast-paced, collaborative environment.
